Your coach chats, clearly explained.

Updated October 2026. This page explains how The Trading Ranch handles coach conversations and related portal information.

You choose before sending.

Both basic and AI coaching require a separate checkbox agreeing to save future text questions and replies for AJ’s private review. Turning on AI is a second, separate choice. You can still view your journal and the free coach summary without sending a chat.

What we save

After a successful coach exchange, we save your question, the coach’s text reply, the time, portal, provider/model used, consent version, and whether a photo was attached. These records are linked to your member account in our private database. We do not save the photo itself, its filename, or image bytes in coach history.

Your saved chat is shared between linked VIP and mentorship identities so you can pick up in either portal. Existing journal entries, imported trading records and screenshots submitted separately for mentorship review retain their separate workspace behavior. A journal’s sharing control still determines whether its entry is submitted for AJ’s review.

Who can review chats

You can see your own saved chats. AJ, as the configured site owner, can review the text to understand member questions and improve the coaching playbook. Other members cannot read your history. Reviewing chats does not automatically train or fine-tune an AI model.

When you choose Claude

Claude/Anthropic receives your current question, up to four recent chat messages, selected relevant personal journal information, and any photo attached to that request. The latest photo stays in this open conversation and is sent again with follow-up AI messages until you remove it, turn off AI, delete the chat history, or leave the workspace. It is kept in browser memory only, so reloading the page does not restore the photo. Crop account numbers, names and other private details before attaching a chart. AI can misread images and make mistakes.

Provider retention and handling depend on the provider’s applicable terms and account settings. Deleting a chat from The Trading Ranch does not automatically delete a provider’s records. See Anthropic’s privacy information.

Retention and deletion

Text exchanges remain available for up to 180 days unless you delete them earlier. Use Delete my chat history in the Ranch coach to remove your retained history from both portals and AJ’s review view. You will be asked to confirm. This does not delete journal entries or separately submitted trade screenshots.

Expired exchanges are excluded from portal reads immediately; scheduled cleanup removes expired database rows in batches. Infrastructure backups may follow separate retention schedules. AJ may download a private text export for review; deleting live portal history cannot recall a file already downloaded. Contact AJ to request removal of corresponding exports.

Access and support

Sign-in and membership information is used to verify portal access. Whop processes purchases and membership status under its own privacy terms. Our hosting and database services process workspace data to run the site. Do not put passwords, API keys or other secrets in coach messages.

For a privacy request, contact AJ through your existing Trading Ranch support or mentorship channel. Share only the information needed to identify your account; do not post private coach text publicly.
